Staff Accountant

The Construction Billing Specialist plays a vital role in ensuring that all billing is completed, accurately, in a timely manner.

Key Responsibilities

Prepare customer billings and any necessary supporting documents or spreadsheets in-compliance with contractual requirements and in accordance with monthly customer deadlines and/or preferences
Process customer payments accurately and timely, review account adjustments, resolve client discrepancies and short payments and customer reconciliations.
Enlist the efforts of the project managers when necessary to accelerate the billing process.
Must communicate & follow up effectively with accounting manager regarding customer accounts on a timely basis.
Establish and maintain effective and cooperative working relationships with customers and management.
Build strong positive relationships with external customers by providing a level of customer service that instills confidence that issues will be resolved in a timely fashion and in a manner that meets or exceeds expectations.
Research and resolve any customer billing issues and/or questions in a manner that meets or exceeds their expectations. This includes, but is not limited to, reviewing job files, reviewing cash application, and reconciling jobs.
Communicate effectively with other members of the team to ensure that potential billing issues or payment delays are properly escalated and resolved
Research and resolve any and all billing related questions that arise during monthly project review meetings, as necessary.
Manage the collection of outstanding invoices so that payment is received quickly, customers have an excellent billing experience.
Monitor and manage the pre-lien process. This includes, but is not limited to, tracking pre-lien notices and obtaining all lien releases required for customer payment.
Assist Admin. and Accounting Department in any reasonable capacity required.
Daily, weekly and Monthly reporting
Monthly Statements
Provide excellent & considerate customer service
Internal and External customer interface
Meet defined department goals and activity metrics
Perform other assigned tasks and duties necessary to support the Accounts Receivable Department.

Key Requirements

Three to five years commercial construction billing experience.

Corporate Paralegal

Duties/Responsibilities:

Manage, coordinate, and execute residential, commercial, and loan closing transactions from contract signing through closing, document recordation, and title policy issuance.
Draft and/or prepare various corporate, construction, and real estate transaction documents and contracts (e.g., closing documents, settlement statements, closing disclosures, and disbursement sheets; purchase contracts and amendments; AIA and other construction contracts; operating agreements; letters and estoppels; corporate affidavits, consents, and resolutions; etc.).
Communicate regularly with outside parties, customers, and vendors regarding pending Company transactions or matters.
Coordinate and assist with due diligence collection, preparation, and review (e.g., title, survey, lease review, estoppels) for acquisitions, financing, and document preparation.
Prepare, maintain, and calendar critical dates and due diligence checklists for pending transactions.
Form entities and maintain corporate documentation and formalities.
Issue title commitments under agency requirements, satisfy title requirements / clear standard exceptions, and issue final title policies.
Maintain and organize company and transactional records and documents.
Provide cross-departmental administrative support (as needed) for accounting, sales, development, and/or construction teams.

Education and Experience:

Research the physical and financial attributes of an asset as well as conduct lease analysis to accurately underwrite acquisition opportunities and value existing assets within the portfolio.
Work within the proprietary cash flow model to project the overall economic feasibility and performance of potential real estate acquisitions, dispositions and corporate finance projects.
Participate in and conduct broker calls to understand asset specific market dynamics including market rents, comparable sales, downtime and rent growth.
Produce memorandum materials on a weekly basis to be presented to members of the Investment Committee for initial deal approvals.
Prepare letters of intent and review purchase agreement documents from a business perspective.
Prepare full Investment Committee memorandums for the Management Investment Committee as well as the Board of Directors for larger transactions.

Resolves issues with municipalities, if applicable.
Monitors and reports status of certificates of occupancy as well as tracks their associated fees.
Enters budgets for custom options or change orders approved by the vice president. This includes completing purchase orders, change events, prime contract change orders for clients, and commitment change orders or commitments for vendors.

Communicates and works with clients throughout the interior design process.
Sources interior finishes, hard and soft furnishings, lighting and interior details.
Creates and executes design concepts, interior detail drawings and presentation materials.
Creates finish schedules and keeps organized records of project details.
Coordinates multiple projects simultaneously.
Assists with order placements and management.
Oversees project installations.
Maintains an overall luxury experience by supporting clients with expertise and courtesy.
Completes projects on schedule and within established budgets.

Customer Service Skills:

Residential Construction Manager - Fort Myers

CORE RESPONSIBILITIES

Manages all aspects of the field-related building processes for assigned projects and specific customer service responsibilities.
Provides exceptional customer satisfaction and quality control.

Completes and documents warranty requests, per approved company process.
Maintains strict OSHA standards for all work areas.

CORE RESPONSIBILITIES

Assists purchasing and estimating departments with vetting project bids and buyouts.
Oversees construction process from design documents to turnover.
Maintains schedule, budget and quality control through Procore platform.
Manages construction managers who supervise employees by directing, coordinating and evaluating units, in accordance with the organization’s policies and applicable laws. This includes interviewing, hiring and training employees; appraising employee performance; planning, assigning and directing work; rewarding and disciplining employees; and addressing complaints and resolving problems.

ADDITIONAL/DETAILED RESPONSIBILITIES

Reviews construction drawings for accuracy and coordination among architects, MEPs, and structural and civil engineers.
Helps purchasing department select subcontractors.
Oversees the purchase order process.
Ensures each completed job is closed out with turnover package.
Meets with customers and designers at job site as well as conducts biweekly OAC meetings.
Oversees the permitting process.
Oversees monthly billing as well as manages budgets and job cost reports.
Manages change orders for subcontractors and owners.
Ensures punch list is completed to customer’s satisfaction.
Returns new customer phone calls within 24 hours.
Delivers estimate package to customer, along with purchasing department.
Employs customer code of ethics.
Collects payment for each job, in accordance with contract and company policies.

QUALIFICATIONS

The Commercial Project Manager is exposed to various weather conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, precarious places and risk of electrical shock. The noise level in the work environment is usually moderate.

Computer Skills:

To perform this job successfully, the Commercial Project Manager should have knowledge of Microsoft Word, Microsoft Excel, QuickBooks, Microsoft Project and Microsoft Outlook; experience with Procore preferred.

Education/Experience:

High school diploma/general education degree, four to six years of industry experience/training, or equivalent combination of education and experience.
